Online Booking

The booking module lets your clients schedule appointments directly online. You define your event types, availability and preferences, and your clients pick a slot via a personalized booking link.

Create an event type (free or paid)

  1. Go to Online Booking > 'Event Types' tab > 'New event type' button
  2. Fill in: name, duration, description
  3. For a paid event: click 'Paid', then enter the price. Payment is via Stripe Checkout at booking time.
  4. For a free event: leave on 'Free' (default)
  5. Configure minimum/maximum booking notice and buffer time
  6. Add pre-booking questions if needed
  7. Enable notifications (confirmation, email/SMS reminders)

Configure availability

  1. In Online Booking, click the 'Availability' tab
  2. Define working days and time slots
  3. To block specific days or add custom hours, use the calendar

Connect Google Calendar or Outlook

  1. In Online Booking, click the 'Settings' tab
  2. In the Video integrations section, configure Zoom or Google Meet
  3. For calendar sync, connect Google Calendar or Outlook from settings

Share your booking link

  1. Each event type has a unique link
  2. The link is visible in the event type details (Slug field)
  3. Link format: https://thecoachpilot.com/book/your-slug/event-slug
  4. Can be shared on website, emails, social media

FAQ

How do my clients book appointments? Share your booking link. Your clients see your real-time availability and choose a slot.

Is Zoom included? Yes, a Zoom room is automatically created for each booking. You can also use your own permanent Zoom link.

Can I sync with Outlook? Yes, Outlook / Office 365 integration is available in Booking > Settings > Integrations.

Common issues

"My calendar isn't syncing" → Check the connection in Booking > Settings > Integrations. Reconnect if necessary. Verify permissions granted to The Coach Pilot.

"Clients see slots I don't want to show" → Check your availability and add exceptions for days to block. Also verify your synced calendar is up to date.
